CORPORATE OPERATIONS

About the Role

The Receptionist cum Administrative Executive is a dual-function role responsible for providing comprehensive administrative support while managing front desk operations. This position ensures smooth office coordination, efficient communication flow, and a professional first impression for all visitors and callers.

KEY RESPONSIBILITIES

Front Desk Management

  • Greet and welcome visitors in a professional and courteous manner
  • Manage reception area to maintain a presentable corporate image at all times
  • Answer, screen, and direct incoming calls efficiently and accurately
  • Handle visitor registration and sign-in procedures, and notify relevant personnel
  • Receive, sort, and distribute mail, parcels, and deliveries

Administrative Support

  • Provide full administrative support to management and departments
  • Coordinate executives' schedules, meetings, appointments, and travel arrangements
  • Act as a communication liaison between executives, staff, and external stakeholders
  • Prepare, review, and manage correspondence, reports, presentations, and documents
  • Organize meetings, conferences, and corporate events (including agendas and minutes)
  • Support special projects and operational initiatives as assigned
  • Maintain and update company records, databases, and filing systems

Office Coordination & Support

  • Perform general administrative duties (filing, photocopying, data entry)
  • Manage meeting room bookings and office scheduling
  • Monitor and replenish office supplies inventory
  • Liaise with building management and service providers for maintenance matters
  • Ensure smooth daily office operations and maintain workplace efficiency

REQUIREMENTS

  • Diploma or Degree in Business Administration or related field
  • Strong interpersonal and communication skills
  • Professional, well-presented, and articulate appearance
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills with attention to detail and discretion
  • Ability to multitask in a structured corporate environment
  • Prior experience in receptionist or administrative roles is an added advantage
